File organiser

The file organiser creates order: it searches your folders and groups the entire contents by type categories. From within a category you rename files (chapter 7), look for duplicates (chapter 8), view the size distribution as a treemap or delete selectively. The organiser is thus the control centre for tidying-up tasks.

9.1 Opening, scanning, categories

  1. Analyse a job (the organiser builds on the loaded folders).
  2. In the header bar, click the “Toggle file organiser” switch.
  3. Click 🔍 Scan — SynQaiPro records the files and arranges them into tiles.
  4. The ◄ Both ► / ◄ Left / Right ► switch chooses which side(s) are included.

Each tile stands for a category and shows a symbol, name, file count and total size in a colour of its own:

9.2 Working within a category

Clicking a tile opens the detail view with the file list of that category (preview/icon, folder path, size, date). All rows are ticked at first. The tools are available in the header:

ℹ️ The tick decides — for both
Both 🗑 Delete and ✏ Rename work on exactly the files carrying a tick. If nothing is ticked, the status line reports that there are no files and nothing happens.

For selecting there are the row ticks, the three-state select-all checkbox (tooltip “Tick / untick all (toggle)…”) and the Space key for the currently marked rows. (“Clear selection + reset sorting”) resets everything.

For visually marking several rows (the step before using Space) the same rule applies as everywhere: a click without a modifier marks only that row, Ctrl+click adds a single one, and Shift+click adds the range to the existing marking instead of replacing it (see 5.6). Clicking the tick itself does not mark the row — the two stay cleanly separate.

Mastering large categories: the exclusive search

A category such as 🖼 Images can contain tens of thousands of files — finding the right ones by hand is hopeless. The ⚡ Exclusive search button in the header (next to the select-all checkbox) opens the search window from chapter 5.5 for this: several terms, AND/OR, exclusions and an extension filter, with a live hit list. What is searched is the category currently open.

With ✓ Apply hits, the file list shows only the files found. The ticks stay as they were — the search neither pre-selects nor removes anything.

💡 How to turn hits into a selection
In a freshly opened category all rows are ticked. To work on the search hits exclusively, do this: apply the hits — then click the select-all checkbox twice (once clears all ticks, once sets them anew). Just like , it always refers only to the visible rows — so afterwards exactly the hits carry a tick and nothing else.
⚠️ Check the restriction before deleting
The orange 🔎 … hits ✕ field above the list indicates that you are seeing only a section. 🗑 Delete works on all ticked files of the category — including the ones currently hidden. Lift the restriction with a click on the field if you want to make sure what is ticked in total. There is no undo in the organiser (9.4).

9.3 Sizes at a glance: the SpaceMap

Via 🗺 SpaceMap the organiser shows the files as a treemap: each area is proportional to the file size, so the biggest space hogs catch the eye immediately. The 1,000 largest files are displayed (tooltip “SpaceMap: visualise files as a treemap · area proportional to file size · limited to the 1,000 largest files”).

A left-click on an area shows the file in Explorer. Hovering over an area also brings up a brief info box with name, size, date, category and folder.

Tidying up directly: the context menu of the areas

A right-click on an area opens a context menu — so you can act straight from the map without the detour via the file list. Every area is a file; the folder entries therefore act on the folder containing that file (with all its contents). Over empty space no menu appears, because there is no target there.

Both delete entries lead to the same selection dialogue as in the file tree (chapter 6): there you decide between Simple deletion and Secure deletion and choose the method (chapter 13). With the 🛡 Securely delete… entry the secure option is already pre-selected; you can still switch in the dialogue. On a recognised SSD only the methods that make sense are offered.

⚠️ The map acts on the real file system
Moving, renaming and deleting take effect on the disk immediately — there is no recycle-bin cache and no undo here. A deleted folder takes its entire contents with it, including files that are not shown on the map at all (only the 1,000 largest are displayed). Check the name shown in the confirmation dialogue before you confirm.
ℹ️ When entries are greyed out
While another file operation is running, the writing entries are locked. Folder entries are not available at the drive root (the drive dialogue in the file tree covers that, chapter 13), and a folder cannot be moved into itself. If the map shows an entry that no longer exists, the actions likewise stay inactive — the map reflects the state of the last scan. After deletion the affected areas disappear from the map immediately.

9.4 Deleting in the organiser

The 🗑 Delete button (tooltip “Delete selected files. With “secure deletion” active, the files are overwritten several times before deletion.”) removes the ticked rows. Each file shows a small progress bar while doing so (with a pass counter such as “1/3” for secure deletion).

⚠️ Deleting in the organiser is final — no recycle bin
Unlike cleaning up in the duplicate finder (chapter 8), there is no recycle-bin cache and no undo here. Without secure deletion the file is removed directly (not into the Windows recycle bin either); with secure deletion (1×/3×/7×, chapter 13) it is overwritten several times. So check your selection carefully before you click.

As long as nothing is ticked, the delete button stays inactive. If a folder is empty, the organiser reports “No files found” / “The selected folders are empty”; before the scan it says “Click Scan to analyse the file structure”.

9.5 In trial mode

🧪 Restricted without a licence
Secure deletion is disabled in the organiser — only normal deletion takes place. Final renaming in the kit is locked, but the preview remains fully usable (chapter 7). The duplicate search shows at most 10 files (chapter 8). Scanning, organising and viewing the categories is possible without restriction.
